Privacy Policy
This policy explains how MSHires collects, uses, shares, secures, and retains personal information across our recruitment and talent marketplace services.

1. Who we are
MSHires is an India-registered recruitment and talent marketplace focused on Microsoft-skilled professionals. This Privacy Policy explains how MSHires collects and handles personal information relating to candidates, employers, recruiters and visitors through mshires.com and associated services.
MSHires is responsible for processing where it determines the purposes and means of that processing; recipient employers and recruiters may separately be responsible for their own recruitment use.
2. Information we collect
We collect account and contact details; professional profiles, CVs, education, certifications, experience, job preferences and applications; assessment responses and results; employer and recruiter account and business details; subscription and transaction records; correspondence; and technical, device, authentication and usage information.
Information may also be received from recruitment partners or other sources where lawful. Please avoid including unnecessary sensitive information in CVs.
3. Why we use information
We use information to register and secure accounts, provide job applications and candidate discovery, enable authorised employer and recruiter searches, source and shortlist talent, assess skills and suitability, communicate about recruitment opportunities, administer paid plans, provide support, prevent fraud, maintain records and improve services.
Marketing communications and optional tracking are handled in accordance with applicable permissions and law.
4. Legal grounds for processing
The lawful basis depends on the purpose and applicable jurisdiction. Where the EU or UK GDPR applies, relevant grounds may include performance of a contract, legitimate interests assessed against individuals’ rights, compliance with law, or consent where required.
Special-category information and significant automated decisions may require additional safeguards. Under Indian law, MSHires will apply the applicable requirements, including relevant DPDP provisions as they come into force.
5. Candidate visibility and recruiter access
Authorised employers and recruiters may search eligible candidate profiles and, according to their permissions and purchased services, view contact details, access CVs or download candidate information. A candidate applying for a specific vacancy may have their application shared with the employer or recruiter managing that vacancy.
MSHires may also source, screen and recommend profiles for hiring clients. Profile discoverability and available user controls are explained in the relevant product journey. Receiving organisations must use candidate information for lawful, authorised recruitment purposes and may act as independent data controllers.
6. AI-assisted recruitment
MSHires uses AI-enabled tools in recruitment-related processes, including analysis of professional information, matching, screening and assessments. Outputs may include suitability indicators or recommendations and can contain errors or reflect limitations in the input data.
Where applicable law requires disclosure, review, contestation or other safeguards for automated processing, MSHires will provide those protections. Human involvement and the effect of automated outputs depend on the particular recruitment workflow.
7. Who receives information
Personal information may be shared with authorised employers and recruiters; MSHires personnel delivering recruitment services; contracted providers supporting hosting, communications, security, assessments, analytics and payment processing; professional advisers; and competent authorities where legally required.
Paid access to candidate records is part of the recruitment offering. Applicable regional rights concerning data sales or sharing will be respected where legally required.
8. International processing
Because MSHires operates internationally, information may be stored or accessed in different countries by service providers and authorised hiring organisations. Where laws restrict cross-border transfers, MSHires will use applicable lawful transfer arrangements and safeguards.
9. Retention
We retain information for the period necessary for relevant recruitment, account, commercial, security and legal purposes, subject to applicable retention obligations and rights. Records that are no longer required are deleted, anonymised or otherwise managed in accordance with applicable requirements.
Deleting a profile from MSHires may not remove copies previously and lawfully received by independent employers or recruiters.
10. Security
MSHires applies technical and organisational safeguards appropriate to the risks of processing recruitment information, including controlled access and measures intended to prevent unauthorised disclosure or misuse. No electronic system can be guaranteed completely secure.
Where a reportable breach occurs, relevant individuals and authorities will be notified as required by law.
11. Privacy rights
Depending on applicable law, individuals may request access, correction, updating, deletion, portability or restriction; object to certain processing; withdraw consent; manage marketing choices; and exercise applicable rights concerning automated decisions.
Rights are subject to legal conditions and exceptions. Requests may require reasonable identity verification. Individuals may also complain to a competent data protection authority where the law provides that right.
13. Children
Where services are not intended for minors, eligibility restrictions will be communicated during registration. Any services offered to minors will be subject to applicable age-related privacy and consent safeguards.
14. External sites
Links to employer websites or other services may lead to independently operated platforms. Their handling of personal information is governed by their own notices and terms.
15. Updates
We may update this policy to reflect changes in our services or applicable law. The current version and effective date will be published on mshires.com, with additional notice or consent where legally required.
16. Contact and complaints
Privacy enquiries and rights requests may be submitted through the official MSHires contact and grievance channels published on mshires.com.
The full registered entity name, registered office, designated privacy contact and official email address will appear in the approved publication version.
